Privacy Notice

Virtual Homes Corporation

1

Scope and Privacy Roles

This Privacy Notice explains how Virtual Homes Corporation (“Virtual Homes,” “we,” “us,” or “our”) collects, uses, discloses, retains, and protects personal information through its websites, applications, home/property profiles, construction marketplace, project-management tools, communications, payments, retail/affiliate features, AI features, integrations, and related services (“Services”).

  • Virtual Homes may act as an independent controller/business for information collected directly from users and marketplace participants, and as a processor/service provider for information a business customer directs Virtual Homes to process about its customers, employees, subcontractors, vendors, and projects. Business customers remain responsible for their own notices, permissions, employment obligations, and lawful instructions.
2

Users and Accounts

Homeowner/consumer and business/professional accounts are intended for users age 18 or older. The Services are not directed to children under 13, and Virtual Homes does not knowingly collect personal information from a child under 13.

  • Employee accounts may be available beginning at age 14 when the minor is lawfully employed and required parental/legal-guardian consent and supervision are in place.
  • A parent/guardian of a 14–17-year-old employee may access what the minor employee can access, but does not gain broader access to the employer’s confidential data. A parent/guardian cannot directly disable the minor employee’s location tracking through the guardian relationship. The parent/guardian may ask the minor’s employer to disable location tracking, and the employer decides whether to accommodate that request, subject to applicable law and the employer’s timekeeping/work requirements.
  • Virtual Homes does not collect or store biometric templates such as fingerprints, facial geometry, or voiceprints. Device-level Face, ID, or fingerprint authentication may be used where the device provider, not Virtual Homes, handles and stores the biometric information. It is at the sole discretion of the User to download, configure, and implement any biometric authentication and is in no way related to or affiliated with Virtual Homes.

Home Profile: Property Data vs. Personal Data

Virtual Homes is designed to separate information that belongs with a property from information that belongs to a person or business.

  • Transferable Property Records may include installed products/materials, manufacturer/model/SKU, installation dates, warranties/manuals, paint colors, trim, doors/windows, roofing, HVAC, appliances, permits, final plans, inspections, maintenance history, appropriate before/after and concealed-condition photos, and other non-personal property history.
  • Private Records remain with the appropriate person/business/project and do not transfer merely because a home is sold: private messages, payment history, personal shopping history, homeowner ratings, internal contractor financials, confidential bids, financing/personal documents, and unrelated personal information.
  • Favorites and shopping preferences remain with the homeowner profile; only the final installed product becomes part of the transferable Home Profile.
  • Purchase transaction details remain personal; installed-product details needed to own and maintain the property may become property records.
  • Virtual Homes/AI may suggest a Property Record vs. Private Record classification, but authorized users may review/correct classifications.
6

Ownership Transfer and Historical Property Records

  • A seller or buyer may initiate a Home Profile transfer. Both parties must accept the transfer to prevent unauthorized transfers. A new owner may claim a profile if a seller is unable to accept the transfer, provided they can prove ownership; Virtual Homes may verify ownership through county or other authoritative property records and may require additional proof or manual review.
  • The former owner may retain a downloadable or PDF snapshot of property-specific information available through the closing/transfer date. Updates after that date are available to the new owner, while the former owner does not receive future Home Profile updates.
  • Deleting a homeowner account may delete/de-identify personal profile data subject to legal retention, while legitimate property records remain with the Home Profile and legitimate project records remain with entitled participants.
  • If a structure is demolished/redeveloped, Virtual Homes may archive non-personal property history and may offer historical property-record features in the future. No promise is made that such a feature will be offered or that records will be public.
  • For active properties, Virtual Homes will not make private Home Profile information publicly searchable. Public-facing information is limited to information already public or obtained from public/licensed sources, unless an authorized user deliberately shares more.
7

Shareable Property Records and Temporary Access

  • Homeowners may create a shareable property report/link/PDF for buyers, realtors, inspectors, lenders, or others, choosing what is included. Sharing is not ownership transfer.
  • Realtors, designers, and other professionals may receive limited, temporary access selected by the homeowner. Access expires after a period selected by the homeowner (for example 30/60/90 days, six months, or one year) and can be revoked at any time.
  • Realtor business accounts may retain a historical portfolio of information they were authorized to use while selling a property, but receive no future Home Profile updates after the listing/authorization ends or property transfers.
  • Users who upload photos, 3-D tours, scans, or similar visual content are responsible for reviewing the content before sharing or publishing it and for ensuring that it does not display personal, private, confidential, sensitive, or other information they do not intend to disclose.
8

Contractor Access to Home Profiles

  • Before award, a bidding contractor sees only information the homeowner intentionally includes in the project/bid request.
  • After a project is awarded to a contractor that accepts/enters an active project, the contractor receives full access to the Home Profile for that property while the project remains active, subject to account security and applicable law. Active-project access may include existing property history, uploaded homeowner photos, installed-product records, warranties, plans, documents, and the Virtual Tour/3-D portion of the Home Profile. This full active-project access is distinct from the narrower access available to bidding contractors, from limited access granted to other professional participants, and from the homeowner’s private information in their Homeowner Profile.
  • When the project is completed or otherwise closed, the contractor loses live access to future Home Profile updates, homeowner photos that are not part of that contractor’s retained project record, and the Virtual Tour/3-D portion of the Home Profile. The contractor retains its legitimate historical project record, including pictures/photos it uploaded or that became part of its project record, products/materials associated with its work, estimates, bids, contracts, change orders, invoices, warranties, documents, measurements, notes, approvals, and message/communication history, so the contractor can reference its own project in the future. Historical access does not provide access to later homeowner content or later work by other contractors.
  • A contractor may request permission to display specific before-and-after or project photos from a homeowner’s project on the contractor’s website or public Virtual Homes business profile/portfolio. The photos may be displayed publicly only after the homeowner affirmatively approves the specific photos. Before approval, the homeowner is responsible for reviewing the proposed photos and confirming that they do not contain personal, private, confidential, or sensitive information the homeowner does not want publicly displayed.
  • A homeowner, or an authorized contractor acting within project permissions, may grant a project participant limited access only to the specific Home Profile items, files, folders, categories, blueprints, photos, measurements, damage information, or other information selected for that participant. Association with a project does not itself provide blanket Home Profile access.
  • The grantor may revoke temporary access at any time and may optionally select an expiration period. Different participants may retain access for different periods based on their project role. If project-related temporary access has not already expired or been revoked, it is automatically revoked when the project is marked complete by both the homeowner and contractor. The homeowner may grant access again in the future. A participant may retain legitimate records it created or submitted, as permitted by law and agreement, but expiration does not create a permanent copy of all information that was temporarily shared.
9

AI, Automation and Recommendations

  • Virtual Homes may use AI for preliminary homeowner estimates, estimating assistance, bid/ranking support, scheduling, project summaries, document/photo/receipt extraction, product identification, 3-D/concealed-condition organization, communications/transcription, analytics, moderation, fraud detection and recommendations.
  • AI recommendations may consider authorized budgets, bids, target margins, cost/quality/timeframe priorities, availability, ratings, experience, project history, and company rules. Homeowners and contractors may override recommendations and choose eligible providers they prefer.
  • Routine automation may be enabled by a company/user. Material changes may require human approval according to configured permissions. Consequential employment, account-ban and similar significant decisions should involve appropriate human review.
  • Robert may detect conditions, summarize communications, create reminders or proposed tasks, draft changes, and recommend actions, but it will not automatically communicate with or take an action affecting a business user’s homeowner/customer without approval from an authorized user. For example, Robert may alert an employee that traffic may make the employee late, but the employee decides whether and how to contact the customer.
  • Robert may prepare a proposed project/change-order update detected from authorized communications and present it to Approve, Review, or Deny; an approved action may then be applied within the user’s authorization. Virtual Homes may change these workflows in the future only with appropriate controls, notices, and legal review.
  • If enabled, Robert/AI may identify authorized patterns and provide nonbinding suggestions, but will not make final employment decisions. Hiring, firing, discipline, compensation, promotion, reassignment, training, and other material employment decisions remain with authorized human managers/supervisors.
  • AI inherits the requesting user’s permissions and is not a route around role, project, customer, document, or employee-level access controls.
  • Virtual Homes may use aggregated/de-identified information for analytics, benchmarks, estimating intelligence, AI improvement, research and product development. Virtual Homes does not use identifiable personal information to train third-party general-purpose AI models.
10

Product, Maintenance, Recall and Commerce Features

  • With homeowner opt-in, Virtual Homes may use Home Profile information internally to provide maintenance reminders and compatible product recommendations. Retailers are not told that a specific homeowner needs an item merely to target that homeowner.
  • Virtual Homes may show marketplace offers and affiliate links and may earn transaction or affiliate commissions. Sponsored placements may be added later and will be clearly labeled. Cross-site behavioral advertising/retargeting is not a launch practice.
  • Virtual Homes may contact opted-in homeowners through enabled channels about maintenance. A record may be retained in Virtual Homes messages/Home Profile.
  • Robert does not independently search for recalls. An authorized manufacturer or other permitted product source must initiate a recall/safety notice through the Virtual Homes complaints/recall process and identify affected product(s), such as by manufacturer, model, SKU, or other identifiers. Virtual Homes may then match the submitted recall notice against Home Profile product records and notify users with potential matches. Matching and notification are supplemental and may be incomplete; it does not replace homeowner monitoring of manufacturer or government safety sources; Virtual Homes does not guarantee every affected product or user will be identified or notified.
  • Homeowners remain responsible for monitoring manufacturer notices, product registrations, government recall databases, and other authoritative safety information. A manufacturer or submitting party remains responsible for the accuracy, scope, and timeliness of the recall information it submits.
11

Employee Timekeeping, Location and Employee Analytics

  • Employees manually punch in for the workday and manually punch into each job. Leaving a jobsite or geofence does not automatically punch an employee out or move the employee to another job. To change jobs, the employee manually punches into the next job; to end the workday, the employee manually punches out. While an employee is punched in, enabled GPS may provide authorized employer personnel with live/current location information so the employer can verify the employee’s location. Virtual Homes may offer optional geofencing-based punch functionality in the future, subject to updated notices, controls, and applicable law. Precise employee location is treated as sensitive information, is available only while the employee is punched in, and is used only to verify location during active work.
  • Detailed precise location history is intended to be retained as long as the Business User decides for authorized verification/investigation, while timecard/jobsite allocation records may be retained indefinitely as legitimate business/employment records. Location tracking is tied to punched-in working time under the enabled configuration and as such may be considered part of the User’s timekeeping records. It is up to the Business User to abide by their state’s timekeeping record laws.
  • Company owners/admins control who can view employee metrics and company financials by role/position, specific employee, and where appropriate specific customer/project.
  • Employee analytics may include estimated vs. actual hours, productivity, attendance, schedule performance, rework, skills, certifications, training, homeowner/customer feedback and ratings about employees or subcontractors assigned to a project, profitability, and trends. Individual worker feedback is treated as internal company analytics rather than a public rating on the employee’s portable profile and is visible only to company personnel authorized to view the applicable analytics.
  • Portable employee profiles may carry certifications/licenses, experience, training, qualifications and recommendation letters. Company-owned analytics do not transfer to a future employer. Credentials may be labeled Verified, Employer-Provided, or Self-Reported.
  • Virtual Homes may offer a future voluntary opt-in employment/work marketplace, but no such public feature is promised. If launched in the future, participation will not be automatic and employer-private analytics will be excluded.
12

Scheduling and Calendar Privacy

  • Authorized calendar integrations may be used for project scheduling. Personal/unrelated event details should not be exposed when availability alone is sufficient.
  • Subcontractors may block unavailable times. Other GCs see only unavailable/blocked periods, not the detailed event or reason in the Subcontractor’s calendar.
  • At rollout, schedule changes will require manual approval. Companies may later opt into AI auto-scheduling, including releasing tentative holds when bids are declined and rescheduling trades based on dependencies and available windows, but a specific timeframe for release of an auto-scheduling feature is not promised.
  • Employees may request time off; requests must be approved/denied by authorized users. If approved, entered periods display as Unavailable/Off for that employee.
13

Bids and Reviews

  • Bids are confidential to the submitting company’s authorized personnel and the intended recipient (homeowner or GC). Competing bidders do not see one another’s pricing or proposals. Losing bidders may be told only that the project was awarded elsewhere.
  • Homeowner-to-contractor reviews are visible to consumers and the reviewed contractor. Contractor/subcontractor-to-homeowner reviews are visible to the reviewed homeowner and eligible contractor/subcontractor users, not the general homeowner audience. GC to Subcontractor and Subcontractor to GC reviews are visible within the professional audience and to the reviewed business.
  • Review eligibility begins after an accepted bid and the project has started. Reviews may be visible immediately. Each reviewed party gets one response; the review and response may be edited. No reply-to-reply thread.
  • Only Virtual Homes may remove a review after investigation. Either side may report materially false, misleading, fraudulent, retaliatory or policy-violating content. Virtual Homes may consider project records and timing, and may retain prior versions internally.
  • Review photos may be public if project-relevant and free of personal/confidential information. Contracts, messages, invoices and similar evidence may be submitted privately to Virtual Homes for investigation, not publicly posted. AI may flag attachments/content for human review.
14

Complaints and Marketplace Integrity

  • Both homeowners and businesses may file complaints under the Complaints section in the app or on the website. After investigation, Virtual Homes may warn, restrict, suspend or terminate accounts for platform-rule violations or patterns of serious complaints. For complaints involving payment between Homeowners and Contractors, or Contractors and Subcontractors, Virtual Homes does not adjudicate the underlying construction payment dispute.
  • Users may report suspected circumvention. Virtual Homes may investigate reported conduct using information reasonably available to it, including applicable project, bid, payment, and communication records. The Terms include a Non-Circumvention and Off-Platform Payments rule for Covered Work arising from qualifying Platform-originated projects, opportunities, or relationships, subject to its stated pre-existing-relationship exception and applicable law. Virtual Homes reserves the right to introduce AI-assisted solicitation/circumvention detection in the future after appropriate product, notice, privacy, and legal review. A report or automated flag is not itself a finding of wrongdoing.
15

Messaging and Calls

  • Pre-award project communication occurs through Virtual Homes without exposing the homeowner’s personal contact information to bidding contractors.
  • With no prior messaging relationship, a homeowner may initiate a message to a contractor, but the contractor may not initiate a message to that homeowner. Once the homeowner messages the contractor, the contractor is added to the homeowner’s Contractor List and may initiate future messages until the homeowner removes the contractor from that list or removes the contractor’s messaging permission. A homeowner may separately add a contractor to Preferred Contractors, a favorites-style list; while listed as Preferred, that contractor may also initiate messages.
  • Either the homeowner or contractor may block the other from messaging through available platform controls. Removing a contractor from Preferred Contractors does not necessarily remove the Contractor List messaging permission if that permission separately exists; the homeowner may remove the applicable permission or Contractor List relationship at any time. An accepted bid from a contractor will automatically add the contractor to the Preferred Contractors list. The homeowner can remove them from this list if they choose.
  • All project communications may be preserved in the project record even when routed by text/email.
  • Calls may be recorded/transcribed into the project communication record where the feature is enabled. If enabled, an automated voice will state “This call is being recorded, by continuing this call, you are providing your consent.” Notice to all parties is required by Virtual Homes and applicable state laws before recording continues or a call is transcribed.
16

Payments

Virtual Homes intends to use Stripe for subscription payments, marketplace/job-related payment functionality, payouts and applicable platform fees. Full payment credentials are collected and handled by Stripe and are not stored by Virtual Homes. Virtual Homes may receive transaction status, a transaction identifier, the last four digits of a card for reference, payout and dispute information, and other fields necessary to operate and support the feature. Construction payment milestones are arrangements between the homeowner and contractor; financing is not a confirmed launch feature.

17

Verification, Public Records and Integrations

  • Virtual Homes may obtain or check public/government or authorized third-party information concerning business registration, licenses, insurance, bonds, certifications, and professional credentials for an active business account at any time.
  • Virtual Homes may track expiration dates and send renewal reminders, and may re-check public status where available.
  • A business account being granted is not an endorsement, guarantee of workmanship, guarantee of present compliance, background check, financial guarantee, or promise on behalf of Virtual Homes that the business profile’s information is accurate or current. Virtual Homes does not offer background checks. Users may obtain them independently.
  • Virtual Homes may integrate with accounting, calendars, property/measurement services, 3-D/floor-plan tools, and permitting systems. The account owner/admin controls enabled integrations and authorized data exchange.
  • Adjusters, architects, engineers, designers, inspectors, surveyors, permitting authorities and similar professionals receive only the documents/folders/project information specifically shared with them, not the full project, Home Profile or contractor profile.
18

Service Providers and Disclosures

  • Virtual Homes may disclose the minimum information reasonably necessary to service providers supporting hosting/storage, security, analytics/error monitoring, communications, AI, payments, customer support, property/measurement data and enabled integrations, subject to appropriate contractual/privacy/security controls.
  • Service providers do not receive permission merely by serving Virtual Homes to independently market to homeowners using Home Profile data.
  • Information may be disclosed when required by valid legal process, for safety/security/enforcement, or in a merger, acquisition, financing, reorganization, sale of assets or change of control. A successor may continue to access information as Virtual Homes did, subject to applicable law and then-applicable privacy commitments/permissions.
  • Where legally permitted and appropriate, Virtual Homes may notify affected users before producing information in response to legal process.
19

Internal Access, Permissions and Audit Logs

  • Virtual Homes personnel use a need-to-know, role-based access model. Human review of private communications is not routine and is limited to authorized personnel when reasonably necessary for support, fraud/fee-circumvention, abuse/harassment, payment/dispute, security, legal/compliance or user-requested investigation.
  • Business owners/admins can restrict company data by role, individual employee and specific customer/project. Temporary customer/project access may be granted and later removed.
  • Virtual Homes may maintain audit/activity logs for permission changes, sensitive access, document sharing/downloads, bids, contracts, change orders, payments/status, Home Profile transfers, AI actions/approvals and other significant events.
20

Cookies and Analytics

Virtual Homes may use necessary cookies/technologies and normal analytics/error monitoring. Virtual Homes does not plan to use session replay or cross-site behavioral advertising/retargeting cookies at launch. If practices change, the notice and required consent and opt-out mechanisms will be updated before deployment.

21

Retention

  • Home/property records may be retained for the life/history of the property where appropriate.
  • Project/business records are retained as reasonably necessary for contracts, warranties, accounting, disputes, legal obligations and legitimate records of participants.
  • Personal account information is retained while needed for the Services and legitimate legal/security/business purposes, then deleted or de-identified as appropriate.
  • Detailed precise employee location history: location tracking is tied to punched-in working time under the enabled configuration and may be subject to timekeeping record laws. It is up to the individual Business User to confirm and abide by their state’s timekeeping record laws.
  • De-identified/aggregated information may be retained for analytics, benchmarks, research, AI/service improvement and industry insights, subject to applicable law.
  • Security/audit records are retained according to security, fraud, dispute and compliance needs.
22

Security

Virtual Homes uses reasonable administrative, technical and organizational safeguards designed to protect information. Security may include role-based access, stronger verification for sensitive actions, Multi Factor Authentication or similar methods, login/security alerts, audit logs, vendor controls and incident response. No system is completely secure. Virtual Homes will notify affected users and, where required, regulators of a qualifying security incident without unreasonable delay and as otherwise required by law.

23

Privacy Choices and Rights

  • Users may use self-service controls to view/correct/manage much of their information, communications, integrations and privacy preferences. Virtual Homes will honor a recognized universal opt-out or browser privacy signal as an opt-out of targeted advertising and any data sale, as applicable law requires.
  • Virtual Homes will provide a centralized privacy-request process for applicable rights not available through self-service, including access/know, correction, deletion, portability, sensitive-data choices, opt-outs and appeals where required by applicable state law. Where the Minnesota Consumer Data Privacy Act or a similar law applies, you may also request a list of the specific third parties to which Virtual Homes has disclosed your personal data, question the result of significant profiling, and appeal a declined request within the time the law allows.
  • Privacy requests do not automatically override other users’ privacy, company-confidential information, security/fraud protections, legitimate project records, property records, legal retention obligations or role-based permissions. Employee requests do not automatically unlock employer analytics unless the employee otherwise has permission or law requires disclosure.
  • Users may export information they are entitled to access; export rights do not expand permissions.
24

Marketing

Virtual Homes may send its own promotional communications where permitted; users may opt out of marketing while continuing to receive necessary service/project/security communications. Businesses may market to their own previous customers subject to consent/preferences, but Virtual Homes is not an unrestricted spam channel. Historical contractor status does not itself grant future Home Profile access. Businesses that send calls, texts, or emails through the Services remain responsible for compliance with the Telephone Consumer Protection Act, CAN-SPAM, and applicable A2P messaging rules.

25

No Smart-Home/IoT Access at Launch

Virtual Homes does not plan at this time to integrate with or routinely access smart-home/IoT devices, security cameras, microphones, thermostats, leak sensors, alarm systems or similar connected-device feeds. This Notice will be updated before any such feature launches.

26

Changes; Contact

We may update this Notice as Services, vendors, technology and law change and will provide additional notice/consent where required.
